Position Summary

Work in an engaging mission-driven learning destination that provides engaging service, nutritious cuisine and distinctive surroundings in the Redwoods to make private events at 1440 Multiversity truly distinct and memorable.   Bring purpose to your work while showcasing your communication and organization strengths as Banquet Manager, where you will lead and liaise among multiple operating departments to ensure each private event is truly exceptional and meaningful.  As the Banquet manager at 1440 Multiversity you will be responsible for ensuring that all guests receive an aesthetically pleasing event environment supplemented by friendly service, attentive execution of all banquet event orders, accurate billing, up-selling and overall increases in Medallia guest satisfaction metrics.

Strong leadership and interpersonal skills are key for staff selection, coaching and training of full-time, part-time and on-call staff.  Strong business acumen to assess, collaborate and update billing with finance team with proven scheduling proficiency will be critical in this position experience with labor management systems is a plus but not required.   

Responsible for the maintenance and par levels of all equipment and product sets, maintaining plentiful food and beverage offerings, conducting daily pre-shift meetings, manage staff certification compliance requirements, establishing proper staffing levels to provide attentive service, executing flawless events and working collaboratively with all operating departments to ensure expectations of all stakeholders are exceeded. 

In addition, you will have hands-on contact with event attendees and ensure that communication of needs can be met throughout the organization in a proactive and timely manner.  Preparing event sets according to banquet event orders (BEOs), program resumes and site visit forms.  Communicate changes in attendance figures, ensure tracking of consumption and accuracy of billing for all assigned events.

Ensure all arrangements and details are consistent with 1440 mission achievement and operational SOPs.  Maintain productive and trusted relationships with all leadership positions by anticipating and communicating program and event needs well in advance of event dates. 

Accountabilities

  • Achievement of budgeted event food sales, beverage sales and labor costs.
  • Achieve maximum profitability and overall success by controlling operating costs and quality of services.
  • Inventory management oversight of private event supplies - china, cutlery, glassware, linen and equipment.
  • Deliver all BEO and event specs in an accurate and timely fashion.
  • Preparation of labor forecast, expense forecast and annual budgeted direct expense worksheets.
  • Complete and submit weekly payroll sheets and appropriate documentation in a timely manner.
  • Completion of weekly private event staff schedules.  Schedule staff as necessary to ensure adequate and consistent levels of service while minimizing payroll expenses.
  • To supervise and co-ordinate daily operation of private event and production set-ups and services.
  • Following of proper purchasing and requisitioning procedures.
  • Maintain records for inventory, labor cost, food cost, beverage cost, purchase orders, etc.
  • Begin each shift by conducting department and event stand-up meetings discussing culture principle of the day to support the campus culture program and mission.
  • Follow-up each private event by completing an event critique and submit to appropriate distribution list.
  • Attend and participate in required management, divisional and departmental meetings.
  • Assist in menu planning and pricing.
  • Development and maintenance of all department control procedures.
  • Development and maintenance of department standard operating procedures and training manuals.
  • Consistently check food and beverage quality and communicate inconsistencies to Executive Chef.
  • Ensure all products, equipment and services meet customer specifications and expectations.
  • Plan ten (10) days in advance to ensure all supplies are at hand to properly complete meeting room set-ups.
  • Liaise on an on-going basis with the Events team to ensure all client needs and requirements will be met.
  • Work with the culinary team and operating staff to ensure all arrangements and details are dealt with.
  • Greet the customer upon arrival.
  • Anticipate all customer needs by being first to offer includes fulfilling last minute changes/requests.
  • Say "Yes" to all requests and provide excellence in problem resolution.
  • Oversight and fulfillment of community and private coffee break schedules as applicable.
  • Resolving all customer opportunities and complaints to full resolution.
  • Track all needs and communicate defects to department heads and Synergy as appropriate.
  • Maintain employee satisfaction while setting high service standards and grooming standards.
  • Teamwork/Relations with co-workers and management.
  • Inspect all private event rooms prior to guest arrival ensuring that client specifications have been met.
  • Co-ordinate the general housekeeping and preventive maintenance of all event spaces (public and private).
  • Participation towards overall campus maintenance, cleanliness and grandeur.
  • Effective communication skills; Hold daily stand-ups and monthly departmental meetings.
  • Staff training and development while recognizing and rewarding staff for merit performance.

  • Coaching and discipline of personnel when required.
  • Prepare coffee breaks, carts and stations with appropriate supplies.
  • Organize tables, action stations, buffets, and carts for service.
  • Communicate any additional meal requirements or special requests to the kitchen.
  • Replenish food and beverage based on guest consumption.
  • Inspect food and beverage to ensure quality product standards are maintained.
  • Ensure equipment, supplies and meal courses are properly cleared in a timely fashion.
  • Manage the presentation of tableware so that it is accessible for the guests.
  • Monitor cleanliness and proper sanitization of tables, stations and service areas.
  • Provide critical guest feedback to leadership to ensure the execution of successful programs/events.
  • Ensures that all communication and work conform to 1440 mission philosophies and initiatives.
  • Proactively manages all assigned events and programs to ensure smooth operational execution.
  • Coordinates and communicates all logistical needs in a timely manner.
  • Continually evaluates work flow and makes recommendations to improve processes and procedures.
  • Performs other duties as assigned by Sr. Director of Operations to meet business needs and mission objectives

Essential skills and experience

  • Previous experience as a Banquet Manager or Supervisor is required.
  • Experience with hospitality management and point of sale software preferred.
  • Read and execute details from banquet event orders, diagrams and resumes for assigned events and programs.
  • Verify all assigned event and program space is clean and secure for guest use.
  • Provides campus orientation to guests that may have needs.
  • Accommodate faculty requests and needs to establish closer trusted working relationships.
  • Be present during guest service times to ensure all arrangements meet specifications.
  • Upon conclusion of events/programs, review final billing and ensure guest satisfaction.
  • Strong organizational and problem-solving skills.
  • Effective conflict and change management skills.

Other duties

This position is campus-based and will require some local travel. Any need business-related travel is at the discretion of senior leadership and must be approved by the Managing Director prior to booking travel.   Evenings, Weekends, and Holiday work will be required as determined by organizational needs, as well as when requested by the Managing Director.
