Position Summary:

The Director of Event Services role Functions as the strategic business leader of Event Management, including the departments of Event Planning, Banquets/Catering, Production Event Services and Event Technology as applicable. Position oversees the development and implementation of departmental strategies and ensures implementation of the 1440 brand service strategy and initiatives.

The position has overall responsibility for executing all campus logistics, communication, planning, contracting, and successful execution of mission-aligned faculty workshop programs, allocation of event venues and spaces, private group meeting, conferences, custom signature classes, local learning events, immersive wellness weddings, purposeful social gatherings, and organizational business occasions.

The Director of Events Services is accountable for the management and day-to-day operations for the department's development of long-term directions, support of 1440's mission, vision and values, including profitable financial management, effective leadership, excellent customer service skills and oversight of department requirements and standards.

This critical position leads the Events and Production teams in all efforts to ensure detailed and timely dissemination of information among all campus departments to increase service execution, enhance revenues, and optimize guest satisfaction. Ensures the team meets the brand's target customer needs, ensures employee satisfaction, focuses on growing event revenues, and maximizes the financial performance of the department. Develops and implements property-wide strategies that deliver products and services to meet or exceed the needs and expectations of the brand's target customer and property employees and provides unique and memorable learning experiences for all.

CORE WORK ACTIVITIES

Managing Event Management Operations and Budgets

  • Researches and analyzes new product and service offerings and recommends pricing accordingly.
  • Review scheduled events and troubleshoot potential challenges/conflicts.
  • Effectively distribute event resumes that impact all campus staff and operations.
  • Works with culinary team to ensure compliance with food handling and sanitation standards.
  • Oversees Event Operations including Banquets, Event Production, and Event Technology.
  • Oversees and lead all related Event teams and related departments.
  • Ensure the cleanliness and inventory aesthetics of all public event spaces and venues.
  • Maintain equipment and supply inventory levels in accordance to department budgeted needs.
  • Lead the execution of 1440 culture and service initiatives in event management areas.
  • Develop and execute an Event Management strategy aligned with the 1440 business strategy.
  • Sets expectations and holds event management leadership team accountable for desired service behaviors related to quality product and service delivery.
  • Clearly and consistently communicate departmental goals and produce desired results.
  • Identifies key drivers of business success to improve guest satisfaction metrics.
  • Ensures integration of departmental goals into total campus objectives.

Managing Profitability

  • Introduce revenue generating ideas to HC colleagues to optimize revenue capture.
  • Take calculated risks to generate incremental revenue and deliver excellent guest service.
  • Personally service events/groups that may have a significant financial impact to campus results.
  • Develop working relationships with outside vendors and establishes prices and service agreements to enhance the event experience and to increase additional revenue opportunities for 1440.
  • Ensuring Exceptional Customer Service
  • Creates an atmosphere in all event management operations areas that exceeds guest expectations.
  • Consult with customers to determine objectives and requirements to personalize their events.
  • Maintain and protect 1440's non-profit status by enforcing IRS non-profit guidelines.

Conducting Human Resources Activities

  • Work with Human Resources to ensure compliance with handbook and regulatory mandates.
  • Conduct KPI coaching sessions with team and take accountability action vs. goals as appropriate.
  • Review staffing levels to ensure operational needs can meet and exceed guest service expectations
  • Provide crisis communication and emergency service support to security team when necessary.

Additional Duties and Accountabilities (include, but are not limited to):

  • Oversee, train, supervise and work with all events and production staff, in partnership with culinary, front desk, and facility staff to plan, merchandise, communicate, and execute all learning programs.
  • Participate in property tours and client meetings.
  • Attend / conduct all designated Events / Operations / Revenue / Sales Strategy meetings.
  • Administer all phases of the events services department, including but not limited to planning, marketing, upselling, servicing, and administrative procedures.
  • Ensure a seamless turnover with program sales, campus departments, and the customer.
  • Prepare event documentation including site visit alerts, communiques, events orders, event checks, briefs to the customer's satisfaction, and clear communication with all departments on campus.
  • Prepare, implement, and compile data for strategic sales plan, regular reports, annual goals, forecasts, and other reports as directed and/or required.
  • Oversee and maintain administrative duties in Delphi.
  • Forecast private catering food, beverage, and room rentals on an annual, monthly, and weekly basis.
  • Manage departmental budget and complete monthly Events Department Expense Worksheet (DEW).
  • Obtain and submit vendor invoices and expenses before month end; complete accrual worksheet for outstanding expenses and submit to the Director of Finance.
  • Have a working knowledge of campus product offerings, including accommodations, signature classes, and food and beverage.
  • Develop events and catering menu pricing and revenue minimums using current competitive data.
  • Work with Sr. Director of Operations to offer insight and feedback to the management of the events and production department and monitor standards and services.
  • Monitor and evaluate on a continuous basis, the level of service maintained by the team.
  • Effectively coordinate efforts between Program Sales and Operations management.
  • Available and present for customers during the event to solve problems and / or suggest alternatives.
  • Work with all departments to solve operational challenges and recommend specific improvement of services for customers, resulting in greater bookings and customer satisfaction.
  • Tour, inspect, and monitor function space for all learning programs and ensure that the desired level of quality is maintained in all meeting room sets on a continual basis.
  • Partner with and develop relationships with vendors and partners.
  • Schedule, train, coach, and perform performance reviews for all managed departmental staff members
  • Responsible for planning, evaluating, organizing, and directing the activities of the Production/Events Managers, Coordinators and Events Department Administrative staff.
  • Responsible for anticipating needs, forecasting results, analyzing, and arranging work processes for personnel in the department.
  • Conducts daily stand-up and weekly department meetings.
  • Attend daily Stand-up, DBR and weekly Sales Strategy Meeting, monthly P&L Review.
  • Oversee divisional matters as they relate to federal, state, and local employment and civil rights laws.
  • Lead by example and ensure clients are 100% satisfied through embodiment of the 1440 Vision and Mission while executing campus and sales basics.

Essential Skills and Experience

  • Minimum of 5 years of experience in Events, Meeting, Conference, or Production Management.
  • Bachelor's degree in related business field preferred experience may offset education requirement
  • Must present samples of work to demonstrated excellence and attention to detail
  • Hands-on management style this is a working Director position that is not only administrative
  • Excellent organizational skills along with excellent oral and written communication skills
  • Proactive and professional communicator must display the ability to adapt to new situations with a positive "yes"/"can-do" approach to events management, events production, and leadership
  • Excellent client relationship extension skills ability to resolve issues through empowerment
  • Must possess ability to prioritize and complete multiple projects and tasks efficiently and effectively
  • Proficiency with Microsoft Suite (Outlook, Teams, Word, Excel), Salesforce, Delphi FDC and Opera
  • Ability to learn and show acumen with all campus operating systems
  • Ability to work both independently and as part of a team - multitask in a fast-paced environment

Other duties

This role requires a hands-on leader to oversee a successful team in an office/campus environment and is not a remote role. Any need for occasional offsite work or business-related travel is at the discretion of senior management and therefore, must be approved prior to booking travel. All expenses or commitments of department funds for any reason, must be approved in advance by the Sr. Director of Operations.
